Assist the Director, Legal Operations in developing and executing strategies to sustain and improve the operational effectiveness of the Legal & Compliance departments. Facilitate team development and accountability through establishment of goals and metrics aligned with PNA business clients.

Operations and Financial Management

  • Facilitate and collaborate with the various PNA and PNA Group internal legal teams to streamline legal operations and focus on automation and digitalization.
  • Report on key operational and substantive metrics for the Legal Department that will better inform decision making including matter and work product analyses
  • Identify and implement Legal Department tools and systems to streamline new or existing practices.
  • Develop and enforce processes and policies to manage outside counsel usage and spend.
  • Assist with budget and business plan matters, as well as prepare high level presentations, and optimize EA workflows within the Legal Department.
  • Collaborate with cross functional teams in all division companies, global team, affiliates, and shared services across the business.
  • Guide efforts to streamline and improve department forecasting and budgeting processes in partnership with Finance; and manage the portion of the budget related to legal operations, systems and tools
  • Brings analysis to a level that can be shared with senior stakeholders and focuses on insights.
  • Develop templates, work instructions and training for Legal Department staff and internal customers who require Legal Department support
  • Support the preparation legal spend dashboards to highlight current and historical legal spend by category, and identify key spending drivers, trends and cost savings or avoidance successes

Technology Management

  • Subject Matter Expert SME in Legal technology and business processes.  Legal systems involved with this position include software platforms for ebilling and matter management, document archival, eDiscovery, intellectual property and trademark management, etc.
  • Identify and troubleshoot issues. Provide recommendations and resolution options to stakeholders Examining current business procedures and how software solves business problems.
  • Working with stakeholders and developers to understand business needs and understand technical implications of those requirements
  • Defining interaction of data with other systems and databases with data management team while suggesting process improvements.
  • Contributing to roadmaps for Legal IT owned products based on user feedback and advocacy.
  • Recommend solutions for improving and restructuring business and technology procedures.
  • Assess IT Product performance, information, and plans by conducting regular tests and analysis.
  • Monitor IT Products and report any progress or changes.
  • Establish specifications for new products by developing product goals, phases, and timelines.

Departmental Administration and Management

  • Support team on multiple day to day responsibilities and administrative tasks with minimal supervision
  • Manage calendars, as well as schedules, and organize activities such as department calendars, meetings, travel, conferences and related activities across numerous sites
  • Manage expenses
  • Proactively takes ownership of managing projects from conception to completion.
  • Generates ideas for new projects and seeks limited guidance in developing project.
  • Demonstrates advanced project management skills, including consideration of impacted stakeholders, incorporation of project impact and potential use cases, management of requisite resources, and deployment of optimal communication plan.
  • Effectively triages own workload; realigns focus and required resources as needed.

Education & Experience

  • Bachelors degree required
  • 5 to 7 years experience in process improvement, project management and or legal department operations or 5 plus years with degree or certification in related field such as law, technology, project management, process improvement, or accounting
  • Experience implementing, designing, administering and troubleshooting legal tools and systems such as eBilling, matter management, document management, contract management, legal holds and or entity management
  • Experience at a multinational and technology based company preferred
  • Strong Microsoft Office skills, with advanced MS Excel, PowerPoint and SharePoint skills.

  • Advanced knowledge of Excel, Word, Powerpoint, ebilling tools, Outlook and other such tools.
  • Strong ability to be a team player, including with teams from different cultures, but also to work independently, take initiative, assume responsibility and own the role.
  • Strong experience in developing, implementing, and using Legal Department technology solutions.
  • Ability to thrive in a fast paced environment and successfully manage multiple deadlines.

Communications

  • Strong ability to work collaboratively with cross functional and global teams, including finance, tax, procurement, human resources, corporate planning, internal and external auditors and transactional team.
  • Strong ability to interact with various levels of management, third parties and vendors.
  • Demonstrated ability to independently move projects forward by gaining support needed from others while working in a cross functional role.
  • Proven track record of collaborating with cross functional groups e.g., division companies, global team, etc. to set objectives and produce meaningful results
