What You'll Get to Do:

Ensure timely and accurate processing of proof of delivery requests:

  • Ensure all proof of delivery requests are processed and closed whenever possible.
  • Utilize internal resources to ensure timely closure of POD requests
  • Escalate problem requests to management
  • Ensure all required documentation (invoices, packing lists, bills of lading etc.…) are attached to each OS and D request, can be opened, and supports the reason the request was closed.

Process Claims:

  • Process all claims
  • Recover and resolve all claims under 2,500 or as assigned
  • Ensure claim is coded to the correct Company Group
  • Ensure Reason Filed always reflects the correct reason filed code and matches the reason/s on the Claim Details Page
  • Ensure claim is valued properly according to contractual limit
  • Ensure the Credit and or Rebill form is prepared accurately using correct codes and pricing and sent to the BOG Data Entry Team for processing.

Ensure timely receipt from carrier of the claim acknowledgment letter and that no claims go time barred due to lack of acknowledgement:

  • Ensure all cargo claims are acknowledged within 35 days of claim date
  • Ensure acknowledgements are received same day if claim is close to time barred date

Follow-up with Carriers on Claims Recovery and or Resolution:

  • Ensure all claims are resolved within the contractual resolution times
  • Claims against carriers where there is no contract in place should be resolved and pursued for the fastest resolution possible.  The standard of 120 days is the goal.
  • Utilize system tools such as reports to achieve target collection rate of 93 percent or higher
  • Carrier Claims Aging Report – Detailed - This report is to be run frequently and can be used to search for claims where the acknowledgement is missing while at the same time pursuing past due claims for collection
  • Follow-up Report – Utilize the follow-up report weekly ensuring there are no claims remaining for follow-up the following Monday when the Team Leader runs the Follow-up Expired Report
  • Non-receipt Claims Acknowledgement – Utilize this report to follow-up on claims that have not been acknowledged or are due for acknowledgement.

Ensure carrier correspondence is handled with accuracy:

  • Ensure all correspondence are handled within 3 business days of receipt
  • Ensure all correspondence are reviewed to determine the correct course of action
  • Declinations involving situations where claims can be reversed are forwarded to the Sales Company for approval.
  • Declinations that are not valid or questionable are to be disputed with the carrier

Customer Service:

  • Develop strong “Customer First” relationships with PNA companies
  • Educate, evaluate, and monitor cargo claims team in compliance to “Customer First” directives
  • Develop, Implement, and maintain customer reports
  • Inform and update PNA companies on current claim trends
  • Provide management reports on all potential customer service issues relating to carriers, customers, and department issues

What You'll Bring:

Education and Experience: 

  • A minimum of 2 years of Cargo Claim Resolution Experience.
  • A minimum of 1 year of Logistics Operations Experience.

Competencies:

  • Excellent problem-solving and negotiating skills.

Communications:

  • Excellent organizational and communication skills.

Other Requirements:

  • Proficient with Microsoft Office 365, Word, Excel, PowerPoint, Outlook, SAP, Highway905 and Transportation Repository System
