Summary:  Responsible for refrigeration installation job setup, progress monitoring, and customer billing. This person works closely with the installation manager, project managers and customers to ensure the jobs are completed on time. Processes weekly payroll, records accounting journal entries, performs month-end account reconciliations and general administrative tasks. 

  • Set up installation jobs in business system
  • Prepare invoices for billing and prepare, collect, and manage documentation required for billing purposes
  • Processes invoices and validates according to project contract documentation
  • Assists project managers with installation job cost-at-completion forecast
  • Using business systems, validates and reconciles project cost data
  • Initiates documents for purchase orders, subcontracts, journal entries, change orders, and lien waivers
  • Comprehend customer contracts to determine the need for job-specific documents
  • Coordinates with staff to accurately and timely record installation job costs including time sheets, daily reports, and related documents
  • Processes weekly payroll and performs daily time sheet reviews
  • General office administrative: order office supplies, purchase card reconciliation and additional duties as assigned
Requirements:

• Ability to successfully manage multiple, competing priorities/tasks in a fast-paced work environment

• Strong written and verbal communication skills

• Intermediate to advanced proficiency in Microsoft Office suite, especially Excel

• Strong organizational and time management skills

• Flexibility to work outside normal working hours as required

• High level of professionalism and diplomacy 

• Accounting experience and basic comprehensive of journal entries

• Ability to read and comprehend construction contract terms and conditions 

• Experience with construction estimating and construction licensing a plus 

• Ability to work independently and on a team

• Demonstrated ability to make decisions, learn quickly, think rationally and exercise good judgment, detail-orientated 

• Customer service experience

• Detail-oriented

• High school diploma, associate degree preferred

• 5 years of relevant experience
