Administrative Supervisor

Responsibilities:

You will oversee administrative support and billing functions for commercial refrigeration service operations in the areas covered by Hussmann's Dallas branch office.  

  • The administrative supervisor reports to the branch fulfillment manager
  • You will supervise four or more administrative support personnel
  • Oversee the coordinating, invoicing, parts procurement, and account receivables
  • Manage office administration in support of district goals; monitor and modify owned work processes
  • Direct hiring, managing, coaching, training, development, and discipline of assigned staff
  • Maintain rules of engagement and training documents
  • Develop the annual physical inventory plan for the Texas district
  • Make process improvements and enact plans to reduce slow-moving inventories
  • Perform inventory management to prevent and solve general ledger imbalances
  • Monitor open jobs and ensure they are billed
  • Manage customer and subcontractor contracts to ensure they are filed, processed, billed, or paid
  • Review cost reports, vendor invoices, refrigerant usage, purchase orders, and staffing demands
  • Ensure adequate parts inventory is on hand to meet field service requirements
  • Maintain inventory database of supplies to meet customer demands
  • Oversee employee payroll processing including tracking of paid time off, completion of reports for bargaining employees, review, and submission of employee expense reports for hourly staff
  • Develop working partnerships with district fulfillment and operations managers
  • Examine and analyze accounting records to determine audit readiness and report on audit results
  • Advise staff who confer with customers by telephone or email to determine reasons for nonpayments and to review the terms of sales, service, or credit contracts
  • Arrange for payment or establish repayment schedules based on customers' financial status
  • Locate and monitor overdue accounts; record information about status of accounts and collection efforts
  • Work in a team environment and learn about other operations through cross-training

Qualifications:

 Bachelor's degree and 1+ years' related experience or high school diploma and 5+ years' related experience

  • Working knowledge of commercial refrigeration and HVAC is preferred
  • Background in management/supervisory function
  • Strong leadership and business acumen
  • Ability to successfully manage multiple, completing priorities/tasks in a fast-paced environment
  • Strong communication skills
  • Strong organizational and time management skills
  • Experience using Microsoft Excel to analyze complex spreadsheets
  • Flexibility to work outside normal working hours
  • Invoicing experience in large-scale commercial construction/service provider environment
